What are we looking for:
A person with a minimum of 3 years of experience as an office manager.
Methodical profile, organised and that feels comfortable multi-tasking, but at the same time have initiative and participate in improvements that are applicable on a day to day basis.
A committed person, eager to learn and wanting to participate in a project in growing phase.
Great knowledge of Microsoft Office (user knowledge is not enough).
English and French native or professional level.
What would your functions be:
- Monitor office supplies inventory and place orders
- Stock management of marketing material (incomes and outgoings).
- Review and control of warranties of products sent to customers.
- Point of contact of the private medical insurance company (registrations, modifications, cancelations, review of mails)
- Manage phone calls and correspondence (e-mail, letters, packages etc.)
- Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
- Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
- Manage travel arrangements/appointments etc. for the upper management
- Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
- Greet and assist visitors when they arrive at the office
