Job Description

What will be you doing day to day

This is a great opportunity for someone who likes a varied role, who enjoys being sociable and welcoming and who wants to play an important role in a busy, fast-growing workplace.

- Reception: greeting visitors while providing excellent customer service, shipping and receiving post, dealing with incoming calls, checking office voicemail and responding accordingly.

- Make sure the office runs smoothly: manage the organisation and cleanliness of the facilities, keep the office supplies supplied, the pantry and fridge fully stocked, and the printer and WiFi working.

- Facilities Site Lead: we need someone who can strike deals with vendors, lead office moves, and take care of security and access. You will be also in charge of our international offices needs.

- Purchasing: managing contract and price negotiations with service providers, deal with office leases, take care of invoices and manage inventory of supplies and equipment for existing employees and new hires.

- People Operations: you will welcome new teammates by greeting candidates and supporting areas of the Onboarding process for new employees.

- Administrative Support: scheduling and booking of conference rooms; managing office expenses and reimbursements.

- Travel Management: we have three offices so far, so we travel frequently. You will support the team with their travel arrangements.

- Team & Culture: you will plan, organize and set up events, from big ones like our Christmas and Summer parties, to our monthly Social Thursdays and other celebrations; create and keep traditions, keep our culture lively and think about our wellbeing in the long term.

- Build processes that will make the above tasks simpler and better.

Due to the nature of this role, the position is based in our Madrid office and requieres coverage Monday to Friday during our regular business hours.

Requirements

Your skills and experience

  • A friendly, warm personality with a positive, can-do attitude
  • Comfortable wearing many hats, ability and willingness to juggle many simultaneous responsibilities
  • Exceptional organizational and prioritization skills, get things done with minimal oversight
  • Are able to keep up with constant change and be both patient and flexible
  • Love to keep things organized and to pay close attention to details
  • Previous experience in office management preferred
  • Fluent in Spanish and English
  • Passion for customer service
  • Excellent writing and verbal communications skills
  • Proficiency in Microsoft Office (Excel, in particular) and comfortable with technology generally
  • Ability to work flexible work week hours
