We are looking for a motivated Office Manager to start ASAP.
QMENTA is a multi-disciplinary science and engineering start-up.
The company’s mission is to develop technologies to better understand
the healthy and diseased brain. We are a fast-growing startup. In these 5
years, we have expanded our business globally and served hospitals,
research centers and pharmaceutical companies in US, Europe,
Asia-Pacific and all over the world.
You will be responsible for keeping our filing system updated and
create the new rules for the filing system. You will coordinate with
the executive assistant the processes for filing hard and soft files
along with some other administrative duties.
The challenge of
this position is to complete tasks accurately in a limited time and
resources. As a small startup, you will need to wear many hats and
accomplish multiple tasks in parallel.
Roles and responsibilityScan and archive documents
Collect invoices and follow the full cycle
Answer phone calls
Welcome visitors and accommodate them
Receive and collect deliveries from Amazon, Seur, MRW, UPS...
Ordering supplies and inputting invoices
Assist in travel arrangement and meeting coordination
Address employees queries regarding office management issues (maintenance, stationery, cleaning, deliveries, heating and air)
Maintain work environments and office supply inventory
Manage food/drink orders and assist with office events
Desired skills and experience2+ years of experience in office management, administration or equivalent
Bachelor’s or advanced degree in business administration or equivalent
Spanish and English with high working proficiency
Excellent communication skills, both oral and written
Computer skills (MS Excel, Word, PowerPoint, GSuite)
Great attention to detail
Team player
Multi-tasker
Desire to work in a fast-paced startup environment
Able to keep confidentiality
Experience in the Accounting field preferred
