We are looking for an Executive Assistant / Office Manager
for our offices in Madrid. Your mission will be providing
administrative and business support to Executive leaders, prioritizing
requests and assuring deadlines are met. Also, your responsibilities
will include office management, controlling the office's needs and track
purchases and orders.
Your day to day will be:
- Managing business and personal calendars, meetings and logistics in
detail, preparing materials and working on company activities.
- Assisting in managing european communication and activities.
- Verifying availability and attendance, posting agendas and ensure meetings are efficiently managed.
- Preparing international and domestic travel agendas, creating travel and expense reports.
- Coordinate overseas conference, keeping in mind time zones and other requierements.
- Replying requests, managing communications and responding properly.
- Decide importance of meeting requests, prioritize and schedule accordingly.
- Maintaining accurate databases.
- Managing internal and external meetings, including room bookings, providers, and necessary.
- Filing correspondence and email management.
- Printing relevant documents of meetings, creating presentations, preparing agendas and verify the documentation.
- Coordinating overseas conference, keeping in mind time zones and other requirements.
- Be responsible for related projects or duties.
REQUIREMENTS
- Higher education, university degree or secretary-related studies.
- Proven experience of at least 3 years in roles related to administrative / executive assistant.
- Spanish native level. English high level is a MUST. French/Portuguese level is desirable.
- Experience dealing with senior executives and stakeholders.
- Understanding business concepts.
- Experience working with confidential information.
- Ability to think and act independently.
- Ability to anticipate business needs.
- Good communications skills.
- Working with suppliers and vendors.
